Switching from Wave or another invoicing tool? You can import your past invoices, with what was paid on each, so client statements, the outstanding report and your revenue reports carry on from where you left off. Nothing is sent to your clients.
Importing your history

Export your invoices
In Wave, download your invoices with their line items (Wave Connect exports them to Google Sheets; save the sheet as a CSV file). From another tool, export invoices as CSV with one row per invoice line. - 2
Open the importer
Go to Invoices and click Import history at the top of the page. Choose Wave or Another tool or a spreadsheet. - 3
Upload the file and check the preview
Rebill reads the columns by name, shows every invoice it found with its total and what was paid, lists any clients it will add, and totals everything per currency. Compare those totals with your old tool before you import. If any row has a problem, it is listed with its row number and nothing is imported until the file is fixed. - 4
Import
Click Import. Your invoices appear in the invoice list with their original numbers, and paid invoices show their payments.
The columns Rebill reads
One row per invoice line. Rows with the same invoice number become one invoice, so a three-line invoice is three rows. The invoice-level columns (customer, dates, status, amount paid) only need to be filled in on one of its rows.
- Invoice number (required): kept exactly as it was.
- Customer name and/or customer email (one is required): matched to your Rebill clients by email first, then by name. A customer Rebill doesn't have yet is added as a new client.
- Invoice date (required) and due date: YYYY-MM-DD works best; 20 Sep 2026 and 20/09/2026 are read too. No due date means due on the invoice date.
- Description or item name (required), quantity (blank means 1) and price (required).
- Tax: a rate such as 15%, or a tax name with a rate such as VAT 15%. Blank means no tax.
- Status: paid, partial or unpaid (Wave's sent, viewed and overdue count as unpaid). Draft invoices are not imported.
- Amount paid, payment date and reference: a paid invoice with no amount paid is paid in full; with no payment date, the invoice date is used.
- Currency: blank uses the client's or your account's currency.
- Total: if your export has it, Rebill checks the lines add up to it.
What imported invoices do and don't do
- They are never emailed or sent by WhatsApp, and they don't get payment reminders or late fees.
- They keep their old numbers and don't change your Rebill invoice numbering. A number that already belongs to one of your Rebill invoices is refused, so rename it in the file.
- They count in client statements, the outstanding report and revenue and payment reports, like any other invoice.
- An unpaid imported invoice can still be paid online by your client, and you can record payments against it as usual.
- On the free plan, an imported invoice counts towards the monthly invoice limit of the month it is dated, not the month you import it. New clients count towards the free plan's client limit.
Safe to upload again
Uploading the same file twice skips every invoice already imported, so you can import a year at a time, or fix a few rows and upload the whole file again.
